Why aren’t messages being sent?

When messages stop going out, Signalist usually tells you why: on the Dashboard, on the lead in the Outbox, or in the campaign itself. Check those places first, and do not duplicate or restart the campaign, because that hides the cause and can lead to duplicate outreach.

Start here: three places that explain a stop

  1. Dashboard → "Issues found". A campaign that paused itself is listed here, with a button that takes you to the fix: Edit campaign, or Add credits when the workspace is out of credits.
  2. Outbox → "Error" tab. Every send that failed is listed here, including messages you wrote by hand. Hover the tag on the lead (for example "Send LinkedIn Message not sent") to read the reason and what to do.
  3. The campaign. A campaign marked Invalid cannot accept leads. Hover the badge: it says what is missing and since when.

The campaign paused itself

A campaign pauses itself when it cannot send to a lead for a reason that affects the whole campaign. There are three:

  • A connection note is too long. After personalisation, LinkedIn accepts at most 200 characters, or 300 with LinkedIn Premium or Sales Navigator.
  • The campaign has no active sender.
  • Your workspace is out of credits. Before an email step, or at a Has email condition, Signalist looks up the address of a lead who has none yet. That lookup costs a credit, and the balance could not pay for it.

Every sender of the campaign receives an email, and the Dashboard shows the issue with an Edit campaign button. Nothing more is sent until you fix the campaign and activate it again, for example with Activate campaign in the campaign builder or Resume in the Campaigns overview. The leads it could not reach are sent again with the corrected campaign.

A campaign paused for credits works differently: its button is Add credits and opens Plans & Billing, and you do not need to activate it again. It starts by itself as soon as credits are added, and the held emails go out then. If you paused it yourself in the meantime, it stays paused.

The campaign is invalid

An Invalid campaign has errors, such as missing senders or an empty message step, and cannot accept leads. Open it, fill in what is missing, and activate it.

The campaign builder also warns you about paths that cannot work, for example a LinkedIn message to leads who have not accepted your invitation, or an email step on a path where leads have no email address. These warnings never block saving, so read them before you activate.

The campaign was never started

Assigned leads are only contacted once their campaign is running. When you send leads into a campaign that is not running yet, Signalist asks Start the campaign? Choose Start campaign & assign to start it, or Assign only to keep it stopped.

The setup guide is not finished

Lists you configured when you signed up only start once you finish the setup guide. Until then the Dashboard shows You're almost set up with a Continue onboarding button. Click Finish at the end of the guide to start them. Skipping the guide does not start them.

One lead does not get a message

Open the Outbox, find the lead, and hover its tag. The most common reasons:

What the tag saysWhyWhat to do
"… not sent": this person hasn't accepted your LinkedIn invitation yetA LinkedIn message only reaches first-degree connections, or a lead who already replied to your invitation in a chat.Wait until the invitation is accepted, then send again. Nothing is wrong with the account or its plan.
"… not sent": missing value for a columnThe step's message uses a list column that has no value for this lead, so the step was not sent with the placeholder in it. The campaign carries on for the other leads, and a test send to this lead names the column too.Fill in the value for this lead, or edit the step's message, then send the step again.
"… skipped": an earlier email to this address bouncedSignalist never emails an address that bounced. The campaign continues with its next step.Add a different, valid address for the lead if you have one, or reach out on LinkedIn.
"… failed": the sending account was disconnectedThe LinkedIn account or mailbox needs to be reconnected.Reconnect it under Personal settings → Connected Accounts.
"… failed": LinkedIn's sending limit for this account was reachedLinkedIn limits how much one account may send.Nothing: sending resumes automatically once the limit resets.
"… failed": the message exceeded LinkedIn's character limitOnce the variables were filled in, the message was too long.Shorten the step's message in the campaign.
"… failed": no InMail credits leftThe LinkedIn account has used up its InMail credits.Top up InMail credits in LinkedIn, or use a different step for this lead.
"… not delivered": can't be reached on LinkedInThe profile is restricted or no longer exists.Reach the lead by email instead.
"… skipped": no email address or no LinkedIn profileThe lead has nothing to send to on this channel.Enrich the lead, or reach out on the other channel.
"… blocked": on your blacklistThe lead or its company is on your blacklist.Remove them from the blacklist only if you really want to contact them.

"Scheduled" is not "sent"

A step under Scheduled in the Outbox is planned, not stuck. When it goes out depends on:

  • the campaign's sending window and time zone (campaign settings, Schedule tab); a step that falls due outside the window waits for the next one
  • the sender's daily limits: for LinkedIn Visits per day, Connection requests per day and Messages per day under Edit LinkedIn settings; for email the mailbox's Limit per day
  • a fixed spacing of 5 to 10 minutes between LinkedIn actions of the same sender

Before you contact support

If none of the above explains it, keep the campaign as it is and send support the list, the campaign, one affected lead, what you expected, and what you see (the tag text or a screenshot). See Prepare an effective support request.

Frequently asked questions

Should I duplicate the campaign?

No. A copy starts from scratch, can contact leads twice, and hides the cause. Fix the campaign you have.

Why is a message under Scheduled not sent yet?

It is waiting for the campaign's sending window, the sender's daily limit, or the spacing between LinkedIn actions. It goes out automatically.

Where do I reconnect a sender?

Under Personal settings → Connected Accounts. The sidebar also shows a warning while an account is logged out.

Why did only some leads get a message?

Each lead is checked on its own: connection status, email address, bounces, blacklist, and whether every column the message uses has a value. Hover the lead's tag in the Outbox to see its reason.

My campaign was paused automatically. What now?

Read the Dashboard issue or the email you received. Shorten the connection note or add an active sender, then activate the campaign again. If it paused because the workspace is out of credits, add credits under Company Settings → Plans & Billing: the campaign starts again by itself.
