Use Inbox to manage replies and Outbox to inspect Sent and Scheduled activity. Clear ownership and consistent filters prevent missed replies and misleading delivery checks.

Inbox

Begin with My replies, then use Team replies or All replies and filters for list, qualification, and reply status. Assign or handle each response according to the team rule.

Outbox

Separate Sent from Scheduled and distinguish Chat from Campaign activity where available. Use sender and status filters when investigating delivery.

Steps

  1. Open Inbox and begin with My replies.
  2. Filter by list, qualification, campaign, and reply status.
  3. Read the context and take or assign ownership.
  4. Record opt-outs, negative replies, and follow-up decisions according to policy.
  5. Open Outbox and check Sent and Scheduled for the same list and sender.
  6. Compare sender, campaign, lead history, and planned time when status is unclear.
  7. Confirm relevant activity reaches the CRM only when the approved mapping and integration are active.

  • The recipient and relationship history are correct.
