Whose replies you see
Three tabs at the top decide whose conversations are listed:
- My replies: answers to messages you sent. Start your day here.
- Team replies: answers to your colleagues.
- All replies: everything in your workspace that you can open.
Filters
- Select Lists: only leads from the chosen lists.
- Qualified leads: for example All qualified leads, Only Prio 1 leads, or Only Disqualified leads.
- Replies: the sentiment Signalist gave the reply: Interested, Bad timing, Neutral, Wrong person, or Not interested.
What you see in a conversation
- Meeting invitations and replies to them appear as status lines rather than as emails, for example "Accepted the meeting invitation", "Declined the meeting invitation", "Proposed a new time for the meeting", or "Sent a meeting invitation". A lead who sends or accepts an invitation is marked Interested.
- InMails are labelled "sent an InMail", so you can tell them apart from regular LinkedIn messages.
Change a reply's sentiment
Under each reply you see the sentiment Signalist gave it, for example Marked as Neutral by Signalist. If it does not fit, click it, pick the right sentiment and click Save. This works in the Inbox and in a lead's Chat tab, including leads you open from Reply Analysis in Analytics. The new sentiment shows right away in the conversation, in the Replies filter and in Reply Analysis.
Get notified about replies
Under Personal settings → Notifications → Engagement Activity you choose which replies notify you: your own email and LinkedIn replies, and, if you want, Email replies to colleagues and LinkedIn replies to colleagues. With Whose replies you pick Everyone in my organization or Only the colleagues I choose. Notifications about colleagues are off by default, and you are only notified about leads you can open.
Outbox
Status tabs
| Tab | What it shows |
|---|
| All | Every lead in outreach. Scheduled leads are left out by default; switch them on with Include in All. |
| Scheduled | Leads whose next message is planned but has not been sent yet. |
| In progress | Leads whose sequence is running. |
| Ended | Leads whose sequence has finished without a reply. |
| Paused | Leads whose outreach is paused. |
| Error | Sends that failed, including messages you wrote by hand. Hover the lead's tag to read why. |
Use the All / Chat / Campaign switch to show only manual (chat) outreach or only campaign outreach.
Why a lead is on hold
- Stopped: someone else at the company answered, so the outreach to their colleagues was stopped.
- Away until a date: the lead replied with an out-of-office notice, so the next step waits for their return.
- Away — ended: the return date was too far away, so the outreach was ended.
Change a scheduled message
Messages you wrote by hand and scheduled show their controls directly under the message in the conversation:
- Pause and Resume: the message is not sent until you resume it. Its scheduled time is kept.
- Edit: change the Subject, the Message, and the send time.
- Send now: the message usually goes out within a minute. Not available while the message is waiting for a LinkedIn invitation to be accepted; such messages show "Sends … days after the invite is accepted".
- Cancel: the message is not sent. This cannot be undone.
To stop the campaign steps for one lead, use Pause outreach in the lead panel.
Your email signature
Every email you write in the Inbox or the Outbox has an Include signature switch. It starts from your company's Email Signature setting on the Copywriting page, and you can change it for each message. Preview shows the email with the signature as it will be sent, and a scheduled message keeps the choice you made. If the mailbox you send from has no signature, the switch stays off and Signalist tells you where to add one. LinkedIn messages have no signature. See Add your email signature to emails.
Good habits
- Work through My replies every day, then Team replies according to who owns which leads in your team.
- Check the Error tab regularly: a failed send is not retried unless the tag says it will be.
- A reply ends the lead's sequence, so you do not need to stop it by hand. An out-of-office reply is the exception: it only moves the next step to the lead's return.
Frequently asked questions
Why is a reply only under Team replies?
The message it answers was sent by a colleague. Open All replies to see every conversation you can access.
Where are the messages I have sent?
In the Outbox under All, In progress, or Ended, depending on where the sequence is. There is no separate "Sent" tab.
Does Scheduled mean sent?
No. Scheduled messages are planned and have not gone out yet. They are hidden from All unless you switch on Include in All.
Can I change a message after scheduling it?
Yes, for messages you wrote by hand: use Edit, Pause, Send now, or Cancel under the message. Campaign steps are changed in the campaign.
Can I correct the sentiment Signalist gave a reply?
Yes. Click the Marked as … by Signalist label under the reply, pick the sentiment and click Save. Filters and Reply Analysis use your choice from then on.
Why does a meeting show as a status line?
Calendar invitations and replies are not written by the lead, so Signalist shows what happened ("Accepted the meeting invitation") instead of the calendar email.
Can I send one reply without my signature?
Yes. Switch Include signature off before you send. The choice applies to that message only.

Add your email signature to emails
Signalist can add the signature of the sending mailbox to your emails: to campaign emails and to the emails you write yourself. One setting decides it for your whole company, and every email draft lets you change it for that one message. The signature never appears twice.
Email sending, limits, and delays
Signalist sends email from your own mailbox. How much goes out, and when, depends on three things: the mailbox's daily limit, the campaign's sending window, and the delay you set on each campaign step.
Why aren’t messages being sent?
When messages stop going out, Signalist usually tells you why: on the Dashboard, on the lead in the Outbox, or in the campaign itself. Check those places first, and do not duplicate or restart the campaign, because that hides the cause and can lead to duplicate outreach.
