Email sending, limits, and delays

Signalist sends email from your own mailbox. How much goes out, and when, depends on three things: the mailbox's daily limit, the campaign's sending window, and the delay you set on each campaign step.

Connect a mailbox

  1. Open Personal settings → Connected Accounts and find the Email card.
  2. Click Connect E-Mail, then Start E-Mail connection. The connection opens in a new tab, so allow pop-ups in your browser.
  3. Sign in with Google, Outlook, or another provider via IMAP.

Your first mailbox is marked Primary; further ones are Secondary. A working mailbox shows "Sending and reply tracking active." If it shows Logged out, sending from it has stopped: click Reconnect. The sidebar also warns you when mailboxes are logged out.

Mailbox settings and the daily limit

Click Edit email settings next to a mailbox to set:

  • Sender First Name and Sender Last Name
  • Limit per day: how many emails this mailbox sends per day, between 1 and 500. The default is 20.
  • E-Mail Signature, with Send Test Email to check it. Whether Signalist adds the signature to your emails is set under Copywriting → General → Email Signature; see Add your email signature to emails.

The limit applies per mailbox. Emails beyond it wait for the next sending window. Start low and raise it slowly while replies and bounces stay healthy.

When emails go out

  • Sending window: each campaign has a time zone and sending times per weekday, set in the campaign's Schedule section. Emails only go out inside that window; outside it, they wait for the next one.
  • Spacing: Signalist spreads a mailbox's emails over the window, with between 30 seconds and 5 minutes between two emails.
  • Delays between steps: set per step in the campaign builder ("after N days", 0 to 30). A step you add starts with the delay from Copywriting → General → Send Delay Defaults for its step number, or 1 day if none is set. The first step of a campaign goes out in the next sending window.
  • Several senders: a lead's first step goes to one of the campaign's active senders, chosen at random among those with room left that day. Follow-ups come from the same sender.

A message under Scheduled in the Outbox is planned, not stuck.

Finding email addresses

A list decides when Signalist looks up email addresses, in its settings under Find contact information like email phone number and company phone number:

  • right before the lead's first email step, or at a Has email condition in the campaign (the default)
  • for all leads when the list runs
  • when the lead is assigned to a campaign

A lookup costs 1 credit and is charged only when an address is found. Not every lead has a findable address; the Outbox then shows the step as skipped.

Bounces and unsubscribes

  • Bounces: once an email to an address bounces, Signalist never emails that address again. The next email step shows "… skipped" in the Outbox, and the campaign continues with its next step. If you have a working address for the lead, add it to the lead's contact info, or reach them on LinkedIn.
  • Unsubscribe link: add the Unsubscribe Link variable to your emails. A lead who clicks it is added to your blacklist and is not contacted again.

Open and click tracking

The campaign settings offer Track E-Mail Openings and Track Clicks. Both are off by default and marked "Not recommended": tracking pixels and rewritten links make emails look less personal to spam filters and can hurt deliverability.

Troubleshooting

ProblemWhat to check
Emails are sent later than expectedThe campaign's sending window and time zone, the mailbox's Limit per day, and the step delay.
Nothing is sent from a mailboxThe mailbox may be Logged out. Reconnect it under Personal settings → Connected Accounts.
A lead has no emailThe lookup found no address. Enrich the lead, or reach them on LinkedIn.
Bounces increaseLower the daily limit and check the quality of your lists. Bounced addresses are skipped automatically.
Emails go out without your signatureCheck that the mailbox has an E-Mail Signature and that Email Signature is switched on under Copywriting → General.

Frequently asked questions

What is a safe daily limit?

The default of 20 per mailbox is a sensible start. Raise it slowly, and only while bounces stay low and replies come in.

Can I spread sending over several mailboxes?

Yes. Connect additional mailboxes and add their users as senders to the campaign. Each mailbox has its own daily limit.

Why is a step "Scheduled" but not sent yet?

It is waiting for the sending window, the mailbox's daily limit, or the step's delay. It goes out automatically.

Does Signalist email a bounced address again?

No. After a bounce, further emails to that address are skipped.

Should I switch on open tracking?

Usually not. It can hurt deliverability. Replies are a more reliable signal.
